DEEPMETA 3 - USER GUIDE - EXPORT DATA

Export data

Using the powerful Sync capability of DeepMeta, you can fetch all your portfolio data from the Getty Images server, as well as your royalty statements with Sales info. DeepMeta keeps this data stored locally on your computer.

DeepMeta allows you to export all this raw data to files for storage/archiving or to import to your favorite spreadsheet for further processing and extract information not provided by DeepMeta.

There are 3 ways you can export data from DeepMeta, we'll explain each of them below:

Global export of all items

In the main DeepMeta menu: click 'Export':

The Export window opens:

The 7 data type blocks correspond to data from their same named DeepMeta sections: Files, Batches, Releases, Boards, Keywords, Statements and Sales.

Select the data types for which you want all data to be exported.

Each selected block allows further fine tuning, with selectable options for groups of fields to export. If only 'General fields' is ticked, then just the basic most important fields are exported for that data type. If all options are ticked, all available fields are exported, this can result in more than 100 fields/columns in your spreadsheet.

A drop-down list at the bottom allows selecting the output format of the files: CSV (Comma Separated Fields) or TSV (Tab Separated Fields). We suggest selecting TSV, which will automatically be imported by most spreadsheet software.

Click OK to confirm, and a new window will pop up, allowing you to select the folder/directory and name of the generated export file(s).

Multiple output files

When multiple types have been selected in the Export window, then multiple files are written. Just leave the proposed filename in place. DeepMeta will add a suffix to each file. E.g. if "Batches" and "Sales" are exported, DeepMeta will create files 'DM-20191213-Batches.tsv' and 'DM-20191213-Sales.tsv'

Automatic Naming: DeepMeta automatically generates descriptive filenames with timestamps and data type suffixes for easy organization.

Export of selected items

If you only want to export a subset of items, select them in the list, and Ctrl-click (macOS) or right-click (Windows) on one of the selected items and choose Export (x items selected) in the popup menu:

The Export window will show up, with the top selection showing: 'Export selected items only (3)'. This time the relevant data type block is enforced - in this case 'Sales' - and others are disabled. It's still possible to fine tune the export by ticking the desired groups of fields:

Choose the export format, click OK and choose the folder/directory name for the output file.

If you change your mind and would like to select all items instead or items of a different type, you can select 'Export all items' in the top selector. This will give the same options as the global export.

Copy to clipboard

A final way to get raw data out of DeepMeta, is to copy selected items in a list to the OS clipboard.

The exact same columns as currently shown for that list will be exported, and this only for the selected items.

This works for all lists in DeepMeta, also for 'Reviews' and 'History', which have no dedicated Export functionality.

Select items in the list and press Cmd-C (macOS) or Ctrl-C (Windows) on the keyboard, or Ctrl-click (macOS) or right-click (Windows) on one of the selected items and choose Copy (x selected):

This will place the shown columns of selected items on the clipboard, using the format (CSV or TSV) last selected in the Export window.

Open a text editor, or spreadsheet program and press CMD V on the keyboard to paste the data.

Global Export

Export all data from multiple sections with full field customization. Best for comprehensive data archiving and analysis.

Selected Items Export

Export specific items with focused data types. Ideal for targeted analysis of particular files, batches, or sales.

Clipboard Copy

Quick data transfer for immediate use. Perfect for copying visible columns to spreadsheets or other applications.

Export Best Practices

Choose TSV Format

TSV (Tab Separated Values) format is recommended as it imports more reliably into spreadsheet applications.

Regular Data Exports

Export your data regularly for backup purposes and to maintain historical records of your portfolio performance.

Field Selection Strategy

Start with "General fields" for basic analysis, then add specific field groups as needed for detailed reporting.

File Organization

Use descriptive export filenames and organize exports by date to maintain clear data archives.
