The Files section

In the left-hand menu: click 'Files':

This is an important section that you will be using for managing your portfolio. The right-hand panel shows details about the file(s), currently selected in the list. You can drag the vertical border between the list and the detail panel to resize and make it fit your needs.

Filtering

At the top of the list are a number of filter boxes. Unselect the ones for the types of files you want to hide in the list:

FILE STATUS

To Edit: show/hide files with status "To Edit" and "Revisable"
To Upload: show/hide files with status "To Upload", "Queued for Upload", "To Resubmit"
Waiting: show/hide files with status "Submitted" and "Revised"
Active: show/hide files with status "Active" (accepted and for sale)
Inactive: show/hide files with status "Rejected", "Deleted" and "Invalid file"

FILE TYPE

Creative Image: show/hide files of type 'Creative Image'
Creative Illustration: show/hide files of type 'Creative Illustration'
Creative Video: show/hide files of type 'Creative Video'
Editorial Image: show/hide files of type 'Editorial Image'

PAGING

1: Select page 1: a set of columns useful for uploading/editing
2: Select page 2: a set of columns with statistics for recent views and interactions
3: Select page 3: a set of columns with cumulated statistics, based on the Getty Images Royalty Statements

Searching

For searching in the files: type one or more words in the 'Search box' at the top right and hit the 'ENTER' key:

Only files will show up which have the filter word(s) in their title, filename, batch name, id, iStock-id or keywords. If more than 1 word is typed: all the words must be present, i.e. it is an 'AND' relation. You can enter multi-word terms by putting them between quotation marks, 'clear sky'. Filtering is not case-sensitive. You can clear the Search box by clicking the small 'delete' button inside the box.

Search Examples:

dog: find all files with 'dog' in the searched fields
dog cute: find all files with 'dog' AND 'cute' in the searched fields
blue "clear sky": find all files with 'blue' AND 'clear sky' in the searched fields

Sorting

Click on a column header at the top of the list, to sort the list entries by that column (upwards). Click the header again to change the sorting order to downwards. The arrow shows the sorted column and its sort order.

Adding, moving and removing columns

By default, only the most important columns are shown in the list. You can add many more or remove the ones you don't need. CTRL-click (on macOS) or right-click (on Windows) on the list 'column header' for the column you want to change. Choose:

Insert/Move column

This will insert the column you select from the list 'before' the clicked column header, if the column was not yet in the list. If the column was already present, its position is moved. In the pop up list, the columns already shown are marked with a check-mark symbol.

Remove column

This will remove the selected column from the list. You can add it back later at any time.

Pop-up context menu

CTRL-click (on macOS) or right-click (on Windows) on an item (or multiple items) in the list to bring up a context menu, allowing to launch actions for the item(s):

Re-import

Selecting the 'Re-import' function allows you to replace the original JPG/MOV/EPS file with a new one, without losing all the data you already entered for that file (title, description, keywords, ...)

Moving files between batches

Selecting the 'Move' function allows you to move the file to a different batch. This can be either an existing batch, but you'll be able to create a new one as well.

The top section will move the file(s) to an existing batch. Select the batch from the drop-down list and click the 'Move' button.

Note: Only files that have not been uploaded yet can be moved, and you can only move to compatible batches ('Image' to 'Image', 'Video' to 'Video', ...). It is possible to move from an 'Editorial image' batch to a 'Creative Image' batch or vice versa.

The bottom section allows moving the file(s) to a new batch. Enter the name of the batch (or leave the suggested one) and click 'Create & Move'.
